Pete Kachur is the Manager of Food Service and Nutrition for IU Health.  His has been there for over 10 years and manages a staff of 90. He stated in our interview, "We are measured on patient satisfaction and the reality is that people vote with their stomachs. Was the tray on time? Was the food hot when it should be hot and cold when it should be cold? Was the order right? These are the measuring sticks that had to be achieved with a paper-based process that was antiquated at best, with every process step being manual. We were fighting a battle”

Pete had heard about Document Mountain from another department that was utilizing our services. He had other options to work with, but they were overpriced and they underperformed.

The biggest value Pete experienced in working with Trays by Document Mountain was that the team collaborated easily between both companies. “Not only did they listen to all the expressed needs, but they also made multiple suggests about improving the process to achieve the goal.”
The result of working with Trays by Document Mountain is that now every piece of paper has been removed from the system and patient satisfaction with increased because all the process inefficiencies have been removed.

Lindsey Overstreet is the Food Service Supervisor at IU Health.   She has worked at IU Health for over 7 years as the team lead for Food and Nutrition at IU Health.  She manages a staff of 25 and has shared with us that “lack of timely or even accurate data made impossible to reinforce training or understand if we were hitting our key performance indicators”

Linsdsey indicated that the manual processes that we have to track trays is burdened with so many cumbersome steps that it promotes errors at best and falsified date at worst. Additionally, the tabulation of this date in an effort to compare it to our key performance indicators was mandating overtime and continually days if not weeks behind schedule. This made the opportunity training on the job impossible.

Through the implementation of Trays by Document Mountain all data is real-time and tabulated automatically so that training is now reinforcing good behaviors as opposed to disciplining bad.

Lindsey Overstreet is the team lead supervisor for Food and Nutrition at IU Health.  She has managed a staff of 25 for over 5 years.  She stated on our interview that, "We are audited frequently and asked to produce documentation that supports our actions. Because of the labor-intensive nature of the previous process, fraud was a common occurrence on both sides of the patient experience. The reality is that the manual process didn’t support real-time inventory tracking. The hospital experienced more than $25,000 in theft, but even more concerning was the falsification of data by hospital employees. It was this falsified data that put the Hospital in jeopardy of not passing accreditation audits, which were the core credential vehicle that allowed the Hospital to practice medicine."

The biggest value Lindsey experienced in working with Trays was real-time nature of the solution verses the previous paper based solution. This one view of the truth has not only allowed her to track all of the inventory out for patients but also tracks the performance of her staff no matter where they are in the hospital.

The result of working with Trays.DocumentMountain.com is that inventory theft has been dramatically decreased and data falsification has been all but eliminated, ensuring confidence during any audit process.

Beverly Douglas is the team lead for Food and Nutrition for IU Health.  For over 10 years she has managed a staff of 25 people.  In our interview, she states, "We work with multiple food restriction ranging from patients with diabetes, heart concerns, low fat/high protein, soft diet or even liquid diets. Providing the wrong foods to the wrong patient at the wrong time is a recipe for disaster. The previous process had no way of tracking the history of the food distributed to a patient short of digging through a forest of boxes and paper to find the let alone tracking sheet with a nurse approval of a change in the patient's diet plan."

The biggest value Beverly experienced in working with Trays was being able to view the entire history of a tray from today, last week, last month or even last year. This has not only increased customer service when someone calls in to determine the ETA of a tray but has also helped avoid individuals threatening lawsuits due to an interaction with the wrong type of food claimed to have been delivered.

The result of working with Trays by Document Mountain is that the history of every tray is available at the push of a button, which not only provides better customer service, but also instantaneous managerial reporting.

FAQ
What distinguishes you from everyone else?
Pete Kachur, the Head of Food and Nutrition for IU Hospitals said that he had other choices but they cost more money, didn’t deliver on their time frames and didn't listen to his staff’s team. Only Tray’s exceeded all of his expectations in all of these areas.
Who are you guys, anyway?
We are a team of proven transformation experts. For the past 20 years, we have assisted more than 800 organizations in just about every kind of industry move from feeling stuck in “business as usual” to thriving in a more efficient business.
What exactly are you promising?
We will eliminate all of your paper. We will give you one view of the truth about achieving your key performance indicators. We will give the ability to reinforce good behaviors instead of disciplining poor ones.
How do I know your solution will work for me? Who hasn't it worked for?
Try it! If it isn’t exactly the right fit we can configure it so it is. Tell us your specific KPI’s, let us know your ambassadors travel patterns and show us what reports you need...or, you can discover what hospitals already have, that we simply listen and make your wishes happen.  This solution will not work for you if you are unwilling to move away from a paper-based process.
How do I present this to my team?
News flash, we are moving into the 21st century. Instead of pushing paper we only have to push buttons. Trays will present, train and walk alongside your team for training.
What are typical contract terms?
As long as you keep your account current you can cancel at any time.  No obligations.
How does it work?
Trays works as a mobile checks and balances for your order entry system. Instead of pushing paper you will be pushing buttons helping you to eliminate killing the forest of trees.
How does it improve customer service?
Paper-based solutions require a manual response at every step of the process, so that customer service will be able to respond to patient inquiries about the ETA of their meal. Our Trays solution automatically syncs with every push of the button, so that everyone has one view of the truth..
What type of support do you offer?
First, we demonstrate the entire solution on-site,  alongside you, step by step.  Then, we step back and allow you to operate on you own.  Finally, we are simply a phone call or email away.
Where did you get the idea to offer this solution?
3 ring binders, filing cabinets, or a stack of Banker Boxes are a huge red flag that there is a process in need of transformation. We were asked to help a hospital after they had been cited by the Fire Marshall because of their short term storage of Banker Boxes in a hallway. While digitizing the records, the question was asked: “Is there a better way?” Through a collaborative effort with the hospital staff, we transformed the process from pushing paper to pushing buttons..
How do you improve employee morale?
Making the move from an antiqued paper-based system to Trays shows your willingness to make an investment in your people. Trays real-time data enables management to use a carrot instead of stick to train rather than discipline.
